From order to invoice with nothing retyped by hand

Today the same figure goes into an e-mail, a spreadsheet and your accounting software. We find where your process breaks and connect it to the programs you already run.

We start with the one process that takes the most of your time. No large project, and no replacing everything at once.

When the spreadsheet becomes the company operating system

The business grows faster than its tools. Three signs you are already past that point.

  • Orders get retyped by hand

The same figure is keyed in two or three times: into an e-mail, into a spreadsheet, into the accounting software. The last copy is where the mistake appears, and the customer is the one who finds it.

  • The tools do not talk to each other

Stock in the web shop and stock in the warehouse are both "correct", because they are two separate lists. No single place shows where the company stands today.

  • A key process lives in one head

While that person is around, everything runs. The moment they take leave or move on, it turns out the process was never written down anywhere.

The company grows and the admin grows faster. A new application that stands on its own does not fix this — it becomes one more island of data, a spreadsheet with a nicer interface.

How we work

The work is cut into steps. Each one is agreed before it starts.

  1. A consultation about the process

We talk through the process that takes the most of your time: who enters what, where the work waits and where it gets corrected. Bring the person who actually runs it.

  2. Agreeing the scope

Before any work starts, we write down what we are doing and what is explicitly outside it. Cost is discussed once the scope is known.

  3. Delivery

By agreement we build a working part of the solution first, so you can open it on your own data. Which part that is, is agreed up front.

  4. Maintenance

Once the solution is running we maintain it on a monthly arrangement: legislative changes, new requirements, fixes. Documentation and access are part of the arrangement.

The biggest fear in a company this size is not the cost, it is the project that never ends. That is why the scope is agreed before anything starts, and why the work is cut into steps you can judge for yourself.

What we will not do

The difference is not in what we can build. It is in what we refuse to build.

  • We will not replace what works

If the spreadsheet, the web shop and the accounting software are each fine on their own, we connect them. We only replace what is genuinely the bottleneck.

  • We will not add another island of data

The solution is connected to what you already run: e-mail and spreadsheets, the web shop, the warehouse, the accounting software, the ERP. Otherwise you simply gain one more place to key the same figure into.

  • We will not start from the technology

First we look at how an order travels to an invoice in your company, and how many times the same figure is keyed in again. The tool is chosen for that process, not the process for the tool.

Artificial intelligence is a tool here. We use it where it shortens the work — reading orders and documents, for instance — and we leave it out where it would make the result impossible to check. The measure is your process, not the technology.

What we can build

Each of these answers a specific step in the process. None of them is a product off the shelf.

  • Integrations between programs

You key a figure in once and it is the same everywhere. The web shop, the warehouse, accounting and the ERP exchange it between themselves.

  • Custom applications

For the process that no off-the-shelf program covers the way the work actually runs in your company.

  • Automation

Manual steps that repeat every week start happening on their own: preparing documents, sending notifications, reconciling lists.

  • Assistants that read documents

Orders, delivery notes and invoices are read out of an e-mail or a PDF and entered into the system, instead of being retyped by a person.

  • Moving data out of an old program

When a program is replaced, the customers, the item list and the order history come with you: the data is migrated and checked, rather than retyped by somebody.

  • Reports that assemble themselves

Figures from separate systems in one place, without the monthly exercise of pasting tables together.

We do not restrict ourselves by industry. The road from order to invoice is at its most tangled wherever goods pass through a warehouse — in manufacturing, wholesale and distribution, for instance — but we work with any company that runs that process.

Let us talk about your process

Write or call and we will arrange a time for a consultation. Tell us which process takes the most of your time and we will go through it with you.

There is no form on this page. An enquiry reaches our e-mail address or our phone directly, so no message gets stuck in a system in between.
